A Prestigious Global Law Firm based in the City of London is seeking an IT Applications Manager - DMS to join their team on a permanent basis with Hybrid working. This is the ideal position for someone who has experience in Document Management Systems and managing a team or someone who is looking to step up to a hands-on managerial role.

ABOUT THE ROLE

The IT Applications Manager - DMS is responsible for managing NetDocuments, the Firm’s cloud-based document management platform, to ensure the effective delivery of application services. They lead a team comprised of a DMS engineer, architect and administrator who attend to the day-to-day operations, administration, enhancement, maintenance and support of the platform to achieve business objectives.

Duties and Responsibilities:

  • Lead all administration, maintenance, and support activities required for a mission-critical application.

  • Serve as NetDocs champion of current and potential capabilities.

  • Own driving the adoption and evolution of NetDocs and its related applications. 

  • Provide high-touch service for lawyers and stakeholders to resolve inquiries and issues.

  • Ensure new integrations, application updates and other platform changes are properly tested before deployment.

  • Author test scripts to be used by Quality Assurance team.

  • Comply with configuration and change management policies.

  • Create and/or maintain documentation of technical processes, platform architecture, application configurations, user acceptance test scripts and system changes.

  • Manage user accounts, permissions, and security settings. 

  • Work with IT Security to ensure the security of the platform and data.

  • Work with Infrastructure to monitor platform performance and identify potential issues. 

  • Assist with troubleshooting issues and implementing preventative measures.  

  • Provide timely resolution of incidents reported by firmwide users to the IT Service Desk.

  • Conduct root cause analysis and prepare resolution documentation, if appropriate. 

  • Provide 24 x 7 team availability for consult and direction regarding critical application issues.

  • Ensure timely and consistent communication during any service interruption.

  • Track and manage licenses, subscription fees and other costs.

  • Define and promote processes and procedures to improve the performance and stability of NetDocuments and integrated third-party applications.

  • Stay current on NetDocuments roadmap, plan for system improvements as appropriate.

  • Direct preparation of functional specifications, design documents, product evaluation and selection, and deployment plans.

  • Hire, train, mentor and develop staff. Conduct performance reviews.

  • Other duties as needed.

Education and/or Experience:

Required:

  • A Bachelor’s degree in area of specialty and/or equivalent combination of education, training, and experience.

  • A minimum of 8 years of IT experience in the field or a related area.

  • Demonstrated ability to provide excellent customer service.

  • Experience supporting cloud-based applications

  • Excellent problem-solving and troubleshooting skills

  • Ability to work collaboratively with other IT team members

  • Strong communication skills, with the ability to explain technical concepts to non-technical users

Preferred:

  • Strong knowledge of NetDocuments administration, including user account management, security, permissions and integrations with third-party applications.
